Baker Aviation — External MX Privacy Policy

This Privacy Policy explains how Baker Aviation ("Baker," "we," "us") collects, uses, and protects information when an aircraft operator ("you") uses the Baker External MX application to request and pay for maintenance services. By creating an account or submitting a maintenance request, you agree to this Policy.
Information We Collect
Account & contact information. Your name, company name, email address, and phone number, provided when you sign up or are invited to the app.
Maintenance request information. Aircraft tail number and details, the work you request, locations, attachments, and related correspondence and authorizations.
Photos. If you choose to attach photos to a maintenance request, the app asks your permission to use your camera and/or photo library. We access only the photos you specifically select or capture for that request — never your wider photo library — and we use them solely to diagnose, estimate, and perform the requested maintenance. You can decline or revoke this permission at any time in your device settings; the rest of the app continues to work.
Push notifications. If you enable notifications, we store a device token issued by Apple so we can alert you about estimates, status changes, and messages on your requests. We use it only for those service notifications — never for advertising. You can turn notifications off at any time in your device settings, and we delete the token when you sign out or delete your account.
Payment information. When you add a card or bank account on file, the payment details are sent directly to our payment processor (Intuit / QuickBooks Payments)and exchanged for a token. Baker never receives, stores, or transmits your full card number or full bank account number. We retain only a non-sensitive reference (a processor token or stored payment-method identifier) plus display details such as the card brand, the last four digits, and the bank name.
Usage & device information. Standard log data (such as IP address, browser or device type, and timestamps) generated when you use the app, used to operate and secure the service.
How We Use Information
We use information to: create and manage your account; receive, estimate, schedule, and perform the maintenance you request; invoice you and process payments; communicate with you about your requests and account; maintain records required for our business and for aviation, tax, and accounting purposes; and detect, prevent, and address fraud, security, and technical issues.
How Payments Are Processed
Baker uses Intuit / QuickBooks Payments to process card and ACH (bank) transactions. When you save a payment method, the sensitive details are tokenized by Intuit and stored under a QuickBooks customer record associated with your operator account so that Baker can charge approved invoices. Your relationship with Intuit for payment processing is also governed by Intuit's privacy and terms, available at intuit.com. Because raw card and bank numbers are handled exclusively by Intuit and never traverse Baker's systems, Baker's handling of cardholder data qualifies as PCI-DSS SAQ-A scope.
How We Share Information
We do not sell your personal information. We share information only as needed to operate the service: with Intuit / QuickBooks to process payments and maintain accounting records; with service providers who host and support the application (for example, our cloud hosting and database providers) under confidentiality obligations; and when required by law or to protect the rights, property, or safety of Baker, our customers, or others.
Data Retention
We retain account, request, invoice, and payment-reference information for as long as your account is active and thereafter as required to meet our legal, tax, accounting, warranty, and recordkeeping obligations. Payment-method tokens are retained while a payment method is on file and removed when you delete it or when no longer needed.
Security
We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and reliance on Intuit's tokenization so that sensitive payment credentials are not stored on Baker's systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your Choices
You may review and update your account details within the app, remove a saved payment method at any time, and request access to your personal information by contacting us at the address below.
Deleting your account. You can delete your account at any time from the account menu in the app (or in the web portal) — no need to contact us. Deleting your account permanently removes your sign-in credentials and your stored device tokens, and anonymizes your name and email on your profile. Completed maintenance requests, work authorizations, and invoices are retained as business records to meet our legal, tax, accounting, warranty, and aviation recordkeeping obligations, but they are no longer associated with a usable login.
Children's Privacy
The app is intended for business use by aircraft operators and is not directed to children under 13, and we do not knowingly collect information from children.
Changes to This Policy
We may update this Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, by notice within the app.
